Minutes of an Annual General Meeting of the West Somerset Amateur Radio Club held

at the West Somerset Community College, Minehead, Somerset.

on Tuesday 1 April 2008 at 8.00pm

08.1 Election of Chairman - The Vice Chairman took the Chair and a proposal that Mr Ollie Twist be elected as chairman was received.

Resolved: Mr Ollie Twist be elected as Chairman for the year 2008/2009

08.2 Election of Committee Members – The Chairman The Chairman reminded members of the present Committee. Bob Bonar (Vice Chairman), John Farmer (Treasurer), Simon Emary (Secretary) and Malcolm Newton who was not now a member of the club. Members proposed that the present committee remaining three committee members be re-elected on block with the addition of Mr Stephen Spurrier to replace Malcom Newton.

Resolved: That the present remaining three committee members be elected with the addition of Stephen Spurrier

08.3 Chairman’s Report The Chairman thanked everyone for coming to the meeting and stated he it had been an active year for the club although it had been difficult at times for the committee to prepare a programme of subjects of interest to members for the monthly club night meetings. He reminded members that he welcomed queries/requests from members for information to be published in the monthly club newsletter. The Chairman felt the College was an excellent meeting venue for many of the club meetings and he also thanked Mrs and Mrs Everard who hosted the meetings twice a year at their property for the Club BBQ and an ‘On the Air’ event. He reminded members of the Rally/Car Boot Sale to be held on 3rd August at Allerford and informed members of a ‘Church on the Air’ event that was new this year to be held on 20th September.

08.4 Topics for meetings – The following meeting topics were agreed for the following 12 months.

August – Allerford Amateur Radio Car Boot Sale on the 3rd August (Members help required)

September – Surplus Sale

October – Film Night

November – ‘On the Air’ at West Somerset College

December – Quiz/Natter Night

January – Annual Social Evening (2nd January 2009)

February – 15 minutes of fame from each member (not Amateur Radio)

March – Slow Scan TV demonstration by Oli plus comparisons with Bob’s faster system (Broadcast locally live)

April – Annual General Meeting

08.5 Financial Matters – The treasurer John Farmer informed members on the current financial position of the club to 31st December 2007 stating that the club financial situation had been turned around over the last two years. Income had decreased from £395.00 in 2006 to £245.00 in 2007. This was due to decrease in subscriptions and a reduction in the income from raffles. Income from the Car Boot Sale was £40.00 with a £10.00 donation from James Hood. The surplus sale generated £50.50 due to Kenn’s generosity. See the attached Report for further details together with a balance sheet and profit and loss comparison for the last four years. John agreed to look at investing the club balance on hand in an easy access, tax free interest bearing account such as an NSI account at the Post Office.

Resolved: That the treasurers report be accepted.

08.6 AOB Bob Bonar informed members that communication equipment was being installed at the West Somerset District Council Offices at Williton. This is a local government Civil Contingencies initiative to provide communications for local councils in the event of a civil emergency. Bob, as a member of Taunton and West Somerset Raynet group, would manage the facility.

The Secretary agreed to send details of the club meeting events to Practical Wireless, Monitoring Monthly and Radcom and to remind them that we meet on the 1st Tuesday of each month other than in August 2008 and January 2009.

It was agreed to call an Extraordinary General Meeting in June to debate changes to quorum numbers in the club constitution and also the possible use of some of the club reserve funds to purchase club equipment.

The meeting was declared closed at 8.52pm
